Embarc Collective, a 501c3 non-profit and the state of Florida’s leading startup hub, invites applications for the
position of Member Operations & Systems Associate.
Membership operations is the machinery behind everything a founder experiences at Embarc Collective — how a
company is welcomed, licensed, billed, provisioned, and supported from the day it joins, and how that founder gets
in front of the investors, partners, and coaches who can move their business forward. We are looking for someone
who takes real care with that work — accurate at volume, with a founder’s experience as the measure.
The Opportunity
The Member Operations & Systems Associate supports the day-to-day operations of Embarc Collective’s
membership: monthly onboarding for every new company, member agreements and licensing, subscriptions and
invoicing, roster and access changes across our platforms, office move-ins and move-outs, and the member
helpdesk. This is the work that makes our member companies and the hundreds of individual members inside
them feel like a community rather than an administrative burden — and it is judged by whether founders notice it
at all.
It is also a systems role, and that is the part that makes it different from a membership administration job.
Membership runs on our core business systems, and this role works across them day to day — administering
accounts, keeping the automa-ons between them working, keeping member data clean and consistent, and
producing the membership reporting the team relies on. Over the next year Embarc Collective is replacing a
significant part of that stack with a purpose-built member operations application, built in-house by the VP of
Platform. This role is that application’s first and heaviest user: running real members through it, catching what it
gets wrong, and switching off the manual steps it replaces. You will not be asked to design the system — you will be
asked to use it well, and to be the one who notices when something stops behaving.
A significant and growing part of this role is investor relations operations. Embarc Collective maintains an investor
network that meets our member companies through the early- and growth-stage ventures summits and investor
convenings and curated introductions throughout the year. Keeping that network live is an operational discipline
before it is a relationship one: an investor record with a current contact, stage, check size, sector focus, and
geography; a steady outreach cadence that goes out in batches, with follow-ups that actually follow up; every reply
read and turned into structured data on the record rather than left in an inbox; and an honest account of which
contacts have moved on and which addresses have quietly stopped delivering. This role helps run that machinery
— preparing and sending the outreach, logging what comes back, keeping the investor CRM true, and doing the
matching work that makes an investor’s visit worth the trip.
This is an exceptional opportunity for someone who is energized by mission-driven work, who takes real
satisfaction in a complicated operation running cleanly, and who is eager to play a hands-on role in Florida’s fastest-
growing startup community.
This role is on-site and structured within a 40-hour workweek, but there will be some after-5 pm work events
required, so your schedule may fluctuate on a week-to-week basis.
What we’re looking for:
- At least three (3) years of experience in membership, customer or revenue operations, business systems administration, community operations, or a comparable operational role — ideally within a startup, a membership organization, a coworking or innovation hub, or a fast-moving small team where you ran a process end to end.
- Familiarity with the business systems this role runs on — Airtable, HubSpot, Stripe and comparable tools — and real comfort working inside them rather than only clicking through them.
- A track record of running high-volume, multi-step processes without dropping them. Tell us about a recurring process you were responsible for, how you kept it accurate at volume, and how you knew when something had gone wrong. We care more about this than about any single tool on the list.
- Experience running outreach or relationship operations out of a CRM — segmented lists, batched sends, follow-up sequences, reply handling, and the record hygiene underneath all of it. Tell us how you knew a campaign had reached the people it was addressed to, and what you did about the contacts that had gone stale.
- Comfort with data integrity as a discipline — deduplication, reconciling records that disagree across systems, and working to a defined source of truth rather than tolerating three versions of the same fact.
- Working literacy with APIs, webhooks and integration logic — enough to read an error, trace where a record stopped moving, and know when an automation has failed silently rather than waiting to be told. Experience running an internally built application is a strong plus; so is comfort using AI tools to do real work.
- Exceptional customer service instincts and the patience to be the first person a founder asks for help — and the discipline to turn a recurring question into documentation instead of answering it a fourth time.
- Excellent written and verbal communication skills and people skills.
- Strong project management and organizational skills.
- Ability to manage and work with different personalities/work styles.
- Highly organized, self-directed, and action oriented.
- Thrive in a fast-paced startup setting where adaptability is essential.
- Driven, initiative-taking, enthusiastic and with a “can do” attitude.
- Experience in or a genuine connection to the Tampa Bay region and/or state of Florida is a plus; a willingness to be deeply embedded in the local ecosystem is a must.
- Bachelor’s degree is required (preferably in business, marketing, public relations, or strategic communications); Master’s degree is preferred.
If this sounds like you, we want to connect:
- You are precise, and you stay precise at volume. A month’s onboarding lands in a spike and every step still gets done. You document what you do so that someone else can do it, and you regard being the only person who knows something as a problem to solve rather than as job security. When something breaks twice, you say so clearly and you say what you think is causing it.
- You treat a contact record as something that decays. A CRM is only worth what its last touch says. You notice when a contact has left the firm, when an address has stopped delivering without ever bouncing, when a status says one thing and the send log says another — and you reconcile it before the next batch is built on top of it. You would rather find the discrepancy yourself than have an investor point it out.
- You are technical in the way that operations rewards. You are not an engineer, and this role does not ask you to be one. But you read an API doc without flinching, you can work out why a Zap failed, you can normalize a messy export, and you can look at four platforms holding the same member’s details and tell us which one is right.
- You are genuinely good with people under pressure. Onboarding lands in a monthly spike. Payments come in late. A founder’s badge does not work at 8am. You handle all of it with warmth and without dropping the thread, and you know the difference between a member who needs a reminder and a member who needs a conversation.
- You are deeply curious about the startup and venture landscape. You are excited to support Embarc Collective’s mission and help position Florida as a leading hub for tech startups, and you are eager to learn from the founders you serve every day.
- You thrive in a collaborative environment. This role works closely with team members across membership, programming, events, partnerships, marketing, finance, and facilities, and you have a record of success in teamwork and managing multiple priorities simultaneously in a mission-driven environment
